ROMS is an ambitious project being developed by RA in conjunction with the state associations to revolutionise the administration of rowing.
In a strategic commitment to the management of the sport of rowing in Australia, a significant investment in information technology will be made by RA and the state associations, resulting in the creation of an internet-based management system that will streamline our administrative processes and reduce the paperwork burden across all levels of our sport.
The system will have a wide variety of functions and will aim to provide a national regatta entry system, streamlined member management and communication tools for clubs, plus host a national calendar of events.
About the Project
Rowing Australia in conjunction and partnership with many of its member States have embarked on an ambitious project to revolutionise the administration of the sport of rowing in this country. Over the next couple of years, a significant investment in information technology will be made, resulting in the creation of an Internet-based management system to reduce the administrative burdens of the sport, across all levels. The project will be delivered in modules over a number of years. The early focus is on automating as much as possible and delivering improvements principally in communications. The State Associations involved in this project are: ACTRA, RQ, SARA, TRC, RV & RWA.
This project is all inclusive. The management team will require your feedback and ideas. So be sure if you have any feedback, let us know!
A Brief Look at the Planned Functionality …
The project is already under development and is a significant financial and time commitment from all the stakeholders. Essentially all aspects of sports administration and communications will be addressed by its implementation. Although it is impossible to describe every function and benefit in a page, here is a bit of an appetiser to give you some insight into the project.
Some of the primary areas the project will address:
- Member Management: all rowing-related people Australia-wide will be able to access and utilise the system. Your information will always be up-to-date — because you can update it yourself — and once updated the changes will be able to be seen by your club, state association and Rowing Australia (subject to privacy provisions).
- News: functionality will allow certain users at club, state and national levels to create news articles. Your club doesn’t have a web site? This is no longer an issue as news, forms, photos and more will be able to be sent to the system. Once this data is received, members will be able to view this information.
- Classifieds: a national “for-sale” system will be established. For a fee you will be able to advertise your boat, oars etc for sale in one place, and have access to a national market of interested buyers.
- Regattas: a national regatta entry system is already under development. You will come to one place to enter regattas in participating states. Results will be uploaded into the system and live results available.
- Calendar: a national calendar listing of all events. Not just regattas, but everything. Your club or school will even be able to add items to the calendar — to be seen by not just club members (default setting) but by the nation.
- Messaging: newsletters, memos and document handling. Your club can send a memo to all members, select crews or individuals. The improvements to communications will be unprecedented, and the problems associated with keeping updated an email address book on one or multiple PCs at your club will be solved.
- Coaching: keeping track of your accreditation status, applying for updates, online resources and more.
- Other: there are plenty of other developments taking place — but the above list should give some idea of the scope of the project. Stay tuned! What do you think we could add?
Benefits for the National Body
With a big improvement in capturing of information for all rowers, coaches and supporters — Rowing Australia will be able to deliver information to the people that need it faster and more timely than ever before. Data will be captured, backed up and secure. No longer will users be looking for pieces of paper and missing e-mails. Automation of processes will help reduce costs and improve accuracy — and also free up volunteers who have handled data processing tasks in the past.
Rowing Australia and the participating States will get an unprecedented “view” of the membership base allowing increased analysis and planning. Administrators will be able to see and react to changes in the membership base from the grass roots and up.
Benefits for the States
The system is being developed at a national level with participating States contributing to the costs and hence the benefit of sharing this across 30,000 users is obvious. By using their combined buying power ‘Rowing in Australia’ will get a system that on an individual level would be unrealistic, but by working together, users will be getting something that will truly change the sport in this country.
All associations will be able to better interact with their “customers”, as managing member information and updates will be faster and easier than ever before.
Benefits for Clubs and Schools
The primary benefit for clubs will be the consolidation of all the news, calendars, and documents, in fact all the items that your members need in the one place — so your members can easily access this information and remain informed.
Managing your members is about to get much easier. All members will be entered into the system, their contact details available, along with: financial status; documents and various other data. The system is “multi-user” and Internet based – so all users with appropriate security clearances can maintain your club records — not just one person like before — and all of the information is backed up and secure at Web Central (hosting service).
Getting information to your members will be a simple matter of writing a newsletter and sending to all members via e-mail. If you need data for mail merges etc — this too will be available in Excel (for example) to people with appropriate security rights.
Member clubs will have access to photo galleries, news, classifieds*, documents, messaging and accounting — all for free because the participating States are working together and funding the project!

Benefits for Users
The primary benefit for end users will be the consolidation of all the news, calendars, and documents, in fact all the items that you need in the one place. No longer will you need to go to 5 different web sites to find out what is going on. All the important information will be presented when you log-in based on what club, state or other roles you participate in nationally.
Entering regattas will be a one stop shop. Many regattas around the country will be entered via the one system. Results from these regattas will be available also in the one place — even live.
Accounting will also be undergoing some changes. We are currently evaluating the feasibility of post regatta accounting and monthly invoicing from “Rowing” that covers all of your financial commitments from club level and up. Payments may then be deducted against a credit card of your choice.
Your Privacy
We are very cognisant of the need for privacy in a system such as this. Even though your contact details will be in the system, for most users the only people able to view and maintain that information will be your club. Certain triggers will make your information available to your State and national body — for example when you are selected in a representative team. We are going to great lengths to get the balance right between who needs to know and who doesn’t so you can rest assured your privacy will remain intact. A privacy statement will be prepared in due course, and certainly under no circumstances will your details be provided to external parties, without your prior consent.
